Admin work eats time. AI can take some of it off your plate if you use it as a helper, not a decision-maker.

What you'll need

  • An AI chat tool with privacy settings you understand

  • Your bookkeeping tool or spreadsheet

  • Receipts or statements with private numbers covered or removed

  • Time to review every result

What admin jobs can AI help with?

Two columns: good starting jobs for AI, like sorting receipts and drafting invoice reminders, and risky jobs to avoid, like pasting bank logins or letting AI file taxes. Use AI to draft and sort, not to decide. Diagram: Sac Business Launch.

How do I use AI to sort receipts, step by step?

  1. Gather a batch. For example, one month of receipts.

  2. Hide private numbers. Cover or crop card numbers, account numbers, and anything with an SSN.

  3. Upload or type them into your AI tool.

  4. Ask for a table. For example: "Make a table with date, vendor, amount, and a suggested category from this list: supplies, advertising, software, vehicle, meals."

  5. Check every row against the receipt. AI can misread numbers.

  6. Copy the checked results into your bookkeeping tool.

  7. Keep the original receipts. The IRS says electronic records must meet the same rules as paper ones.

The IRS says expense records should show who you paid, the amount, proof of payment, the date, and what it was for. Ask the AI to include those fields.

How do I write an invoice reminder with AI?

  1. Type: "Write a friendly reminder that invoice [number] for [amount] was due on [date]. Include this payment link: [link]. Keep it under 80 words."

  2. Fill in the real numbers yourself.

  3. Read it, fix the tone, and send it from your own email.

How do I keep financial data private?

  • Check training settings. In ChatGPT, OpenAI says turning off "Improve the model for everyone" stops new chats from being used for training.

  • Know who might see it. Google says human reviewers may read some Gemini chats, and reviewed chats can be kept up to three years.

  • Use business plans when you can. OpenAI says it doesn't train on ChatGPT Business, Enterprise, or Edu workspace content by default.

  • Never paste passwords or logins. No AI tool needs your bank password.

Can AI answer my tax questions?

AI can explain what a form is for in everyday words. But it can be wrong or out of date. Check answers against the official source:

Questions people ask

Can AI do my bookkeeping for me?

AI can help sort, summarize, and draft, but you are still responsible for your records and tax returns. The IRS expects records that clearly show income and expenses, so review every number AI touches.

Is it safe to upload receipts to an AI tool?

It depends on the tool and settings. Google says human reviewers may read some Gemini chats, and asks users not to enter confidential information. Remove card numbers, account numbers, and SSNs first, and use business plans or privacy settings where offered.

Can I trust AI answers about taxes?

Not on their own. AI can explain a form in simpler words, but check every answer against the IRS, FTB, CDTFA, or EDD, or ask a tax pro.

Do scanned or digital receipts count as records?

The IRS says all requirements that apply to paper books and records also apply to electronic records. Keep them organized and readable.
