What you'll need

  • ChatGPT, Gemini, or Gemini in Gmail

  • The facts the email must include

  • One of your past emails, if you want the same tone

  • Five minutes to review

1. Leave private details out

Write "the customer" instead of a name. Add the name yourself after the draft is done. Leave out the street address, card number, and anything about health.

Google's Gemini privacy notice says not to enter confidential information you would not want a reviewer to see. The full list of what to keep out is in AI safety basics.

2. Copy this prompt

Change the facts. Keep the lines that stop the tool from inventing a policy.

Write a short email, under 90 words, warm and direct.
Situation: a customer asked to move a cake order.
Facts you must use, and must not change:
- We can move the order to Saturday at 10 a.m.
- The price stays $48.
- They should reply to this email to confirm.
Do not invent a phone number, a discount, or a policy.
Give me two versions.

3. Check it, then send it

  1. Read every number against your notes.

  2. Delete any sentence that promises a refund, a delivery window, or a policy you do not have.

  3. Put the customer's name back in yourself.

  4. Send it from your own mailbox.

If you use Gemini inside Gmail, the same checks apply. See Gemini in Gmail, Docs, and Sheets.

Captions are a separate task. Use write social posts with AI.

Common mistakes

  • Pasting the whole customer thread, including a card number, into the prompt.

  • Sending the first version because it sounds polite.

  • Letting the tool add "we are happy to offer 10% off" when you never decided that.

Questions people ask

Is it okay to use AI for a customer email?

Yes, as a first draft. Leave private customer details out of the prompt, check every fact, and send it yourself.

Will the AI company see what I type?

It can. Google's Gemini privacy notice says not to enter confidential information you would not want a reviewer to see. In ChatGPT, turn off "Improve the model for everyone" under Settings, then Data controls, so new chats are not used for training.

Where do social captions go?

They have their own guide, with a caption prompt you can copy.

Words to know
  • Prompt: The request you type.

  • Draft: The first version. It is not the message you send until you edit it.

  • Training: When a company uses chats to improve its models. ChatGPT lets you turn that off for new chats.
