What you'll need

  • An admin account on a verified domain

  • The person's name and the email you want them to use

  • A plan for their Drive files and calendar if you are removing them

1. Add a user

Google's add-user page was last updated October 13, 2026. We read it on October 20, 2026.

For a verified domain: Admin console, Directory, Users, Add new user. Enter the name, the primary email, a recovery email (Google recommends one), and an optional phone and password. Choose Add New User. Copy the password or email the details.

The welcome link expires in 48 hours. Services can take up to 24 hours.

Business Starter, Standard, and Plus stop at 300 users on Google's pricing page. After that, Google points larger teams to an Enterprise edition. Give each person their own account. Do not share one login.

If your organization is email-verified, you invite users instead of creating a password. Everyone has to be at the same domain.

On a flexible plan, adding a user increases the monthly payment. On an annual plan, you may need to buy licenses before you can add the user.

2. Remove a user

Transfer what you need first. Google's delete page, also updated October 13, 2026, says a super admin can transfer Drive and Docs files, the primary calendar, and Data Studio while deleting the user.

You can restore the user within 20 days. The email address leaves Workspace 20 days after deletion. You can reassign it before then, and that can take up to 24 hours. If the address was a personal unmanaged account, wait 30 days before reuse.

Files in shared drives are not deleted with the user. You cannot delete your own admin account.

3. When not to delete

Rename with an alias, pause with suspend, and free a license by archiving. Deleting an annual-plan user does not reduce the license count. Diagram: Sac Business Launch.

Use an alias when you only need to change the address they send from. Suspend the user when you need to pause access. Archive a user when the goal is to keep data and free a license. Deleting an annual-plan user does not reduce the license count. A flexible-plan deletion prorates the monthly rate.

Common mistakes

  • Deleting someone to rename them.

  • Skipping the file transfer, then losing the only copy of a customer list.

  • Waiting past 20 days and expecting the Restore button to still work.
