What you'll need

  • Google Chat on a work, school, or personal account

  • The people who should be in the room

  • A clear topic, such as "Jobs this week" or "Front desk"

1. Pick the type before you create it

Google's Chat help describes two kinds.

A collaboration space works on a personal, work, or school account. Everyone in the space can post. A personal Google account can only create this kind.

An announcement space is for work or school accounts. Owners and managers post. Members can react and reply. You cannot change a space from one type to the other after you create it.

2. Decide who can join

Work and school spaces can be private, discoverable, or open. That choice is separate from who is allowed to post. Diagram: Sac Business Launch.

For work and school accounts, Google lists three access levels: private (invite only), discoverable (people can ask to join), and open (people can join).

Spaces include threads, tasks, and a file list. An unnamed group direct message does not have tasks or a file list. Use a space when the topic will still matter next month.

Google's help page describes how to create a space. The button label can change, so follow that page rather than a screenshot. We are not drawing a fake Chat window here.

3. A simple setup for a small crew

One collaboration space for daily work. One announcement space for decisions you do not want buried, such as holiday hours. Keep customer conversations in email or your shared inbox, where you already have a record.

Common mistakes

  • Creating an announcement space, then wishing everyone could post.

  • A new space for every small question. One topic per space is enough.

  • Putting customer payment details in Chat. Keep those in your books.

Questions people ask

Can I change a space from collaboration to announcement later?

No. Google says you cannot change the type after you create the space.

Can a personal Google account create an announcement space?

No. Personal accounts can only create collaboration spaces. Announcement spaces are for work or school accounts.

How is a space different from a group message?

A space is organized around a topic or project. Google says spaces have threads, tasks, and a file list. An unnamed group direct message does not have tasks or a file list.
