What you'll need
Gmail on a computer
Your name, role, phone, and website, if you want them in the signature
A logo file, only if you want an image
1. Create the signature
Open Gmail. Go to Settings, then See all settings, then Signature. Write the signature and choose Save Changes.
Gmail allows up to 10,000 characters. If you add an image, it counts toward that limit. A short signature is easier to read on a phone: name, business, phone, and the page you want people to open.
2. Use more than one
You can store multiple signatures. Use the dropdown to give each Send-mail-as address its own signature, so mail from info@ does not end with your personal mobile number.
While you compose, you can insert a signature. Set a default for new mail and a default for replies if you want replies to stay shorter.
If you have not added the other From address yet, start with send mail as another address.
Common mistakes
Putting a price or a coupon in the signature, then forgetting to update it.
Using a huge image that pushes the real message down.
One personal phone number on a shared From address.
Questions people ask
How long can a Gmail signature be?
Gmail Help says 10,000 characters. An image in the signature counts toward that limit.
Can I use a different signature for each address?
Yes. The signature settings include a dropdown so each Send-mail-as address can have its own signature.
Can an admin force one signature on every user?
We did not find a verified click-path for a company-wide forced signature in the Gmail help we checked. This guide covers the signature each person sets in their own Gmail.
